TITLE
Executive Assistant (m/f)
'Assistenz / Referent der Geschäftsleitung' (m/w)
FUNCTION

As an Executive Assistant you will provide secretarial and administrative support service to the CEO and the members of the Supervisory Board of FLO-CERT. Furthermore, the Executive Assistant will assist the CEO in the coordination and communication with external and internal business partners, stakeholders and public authorities as well as in the optimization of business processes and quality management. Key responsibilities also include acting as first point of contact and directing enquiries proactively and appropriately, organizing meetings and projects, appointments and travel arrangements as requested and maintaining the diary accurately. Take proactive steps to ensure that best practice and coordination is seamless across all interfaces. The Executive Assistant should be versed and skilled to work in dynamic but friendly and multi-national working environment.
CORE RESPONSIBILITIES

- Assist the CEO in the area of key account communication as well as in the
coordination of projects and development of business processes
- Perform a wide variety of clerical and administrative duties supporting proactively
the company's CEO and its Supervisory Board
TASKS

- Assist the CEO in external and internal communications matters including responding
to stakeholder inquiries and public authorities
- Assist in and coordinate international and cross-functional projects
- Assist with the preparation of presentations and narrative documentation
- Manage the CEO’s schedule, meetings and travel arrangements including to screen
and prioritize the CEO`s mail and phone calls
- Manage meetings agendas and materials (including the Supervisory Board)
- Take meeting minutes and provide post-meeting follow-up notes
- Research and write memos or reports
- Maintain an effective computer based filing system and manual filing systems
where appropriate

 Chief Executive Officer
REQUIRED QUALIFICATIONS 
Necessary:
- Professional education as Management Assistant, Foreign/ Multi-lingual secretary,
Office clerk, Office Administrator or any other related qualification
- At least 3 years previous experience as an executive assistant, personal secretary
or equivalent position
- Profound experiences in corporate communications
- Excellent organizational and planning skills as well as the ability to multi-task
- Strong initiative and consistency in precise work output
- Excellent interpersonal skills with the ability to communicate effectively with people
at all levels
- Goal/solution oriented and analytical/conceptional thinking
- Very well organized and high commitment to the tasks
- Fluent English and German oral and written
- High command of MS Office Suite (Word, Outlook, Excel, PowerPoint)
and in the general use of information systems
- Very good typewriting skills
- A reliable, diligent and stress flexible team player
- Motivation for Fairtrade
Advantageous:
- University education in economics, communications or human resources
- Further education or training in the area of communications, marketing etc.
- Language skills in Spanish
- Basic financial knowledge or understanding
- Experiences in project management in an international environment

- Salary is paid according to the Collective Bargaining Agreement Category (Tarifvertrag Groß- und Außenhandel, Nordrhein-Westfalen), Salary Range V plus an attractive benefits package
